Hotel Email List: How to Build One (Data From 17,963 Hotels)
You can build a hotel email list from Google Maps, but in practice it is a list of independent hotels. We read the websites behind 17,963 hotel listings in 61 countries: 91.0% had a phone number, and 37.9% published an email address that belonged to that hotel.
The split that decides your list is chain versus independent. A hotel with its own website published its own address 66.9% of the time. A hotel whose listing links to a chain's brand site did so 4.0% of the time.
How many hotels publish an email address?
About four in ten. Of the 17,963 hotel listings we analysed, 6,800 ended with an email address that belonged to the hotel itself, which is 37.9%. Another 2,052 listings (11.4%) only led to an address that three or more hotels shared, usually a chain's central reservations or customer service mailbox.
| Step | Listings | Share |
|---|---|---|
| All hotel listings | 17,963 | 100% |
| Listing links to a website | 13,429 | 74.8% |
| of which a single-property website | 9,956 | 55.4% |
| of which a brand site shared by 5 or more listings | 3,473 | 19.3% |
| Listing links to a social profile or booking platform | 300 | 1.7% |
| No website link | 4,234 | 23.6% |
| Email found, belongs to the hotel | 6,800 | 37.9% |
| Email found, shared by 3 or more hotels | 2,052 | 11.4% |
We call an address "the hotel's own" when no more than two listings in the dataset share it. A central address that appears on dozens of listings reaches a head office, not the hotel you picked.
A Google Maps listing cannot shortcut this. A Google Business Profile has no email field and the Places API does not return one, so every address comes from the hotel's website. We covered that in how to get emails from Google Maps.
Chain hotels versus independent hotels
Independent hotels publish an email, chain hotels mostly do not. 92 website domains appeared on five or more hotel listings each, covering 3,473 listings. Those are brand sites: the listing for a single hotel links to the chain's central website.
| Website type | Listings | Hotel's own email | Only a shared brand address | No email on the site | Site refused or failed the read |
|---|---|---|---|---|---|
| Single-property website | 9,956 | 66.9% | 2.5% | 20.4% | 10.2% |
| Brand site shared by 5 or more listings | 3,473 | 4.0% | 51.5% | 6.1% | 38.4% |
Two things happen on brand sites. Half of them show one central address for every hotel in the group. The other big share refuses automated visits: 32.1% of brand-site listings ended with an access-denied or rate-limit response (HTTP 401, 403, 406 or 429), against 2.2% for single-property sites.
The phone works for both. 98.3% of the brand-site listings had a phone number, and so did 97.2% of the single-property ones. If your buyers are chain hotels, the phone and the chain's regional sales office are the channel. The method for a calling list is in the B2B cold calling list guide.
You can spot brand sites in your own export. Extract the domain from the website column and count it: a domain that appears on five or more rows is a chain site, and its email column will mostly hold the same central address.
Hotel email coverage by country
The share of hotel listings with their own email ranges from 8.6% in Brazil to 60.9% in Germany. Every country below has at least 150 hotel listings in our data.
| Country | Listings | Website link | Brand site | Hotel's own email | Free mailbox (Gmail etc.) |
|---|---|---|---|---|---|
| India | 6,192 | 58.6% | 22.1% | 21.6% | 30.7% |
| Germany | 5,740 | 96.0% | 18.3% | 60.9% | 6.0% |
| United States | 860 | 90.9% | 56.6% | 19.4% | 28.1% |
| Nicaragua | 653 | 32.8% | 1.5% | 17.5% | 33.3% |
| United Kingdom | 596 | 93.1% | 36.6% | 39.4% | 9.4% |
| Hungary | 579 | 77.7% | 5.2% | 42.0% | 38.3% |
| Brazil | 525 | 29.5% | 1.1% | 8.6% | 44.4% |
| Italy | 445 | 89.9% | 1.3% | 59.3% | 14.4% |
| France | 441 | 95.9% | 18.1% | 53.3% | 14.0% |
| Spain | 256 | 87.5% | 2.0% | 52.7% | 13.3% |
| Türkiye | 173 | 69.9% | 4.0% | 37.0% | 9.4% |
"Free mailbox" is the share of the hotels' own addresses on consumer providers such as Gmail, Hotmail, Yahoo or Freemail. The full table, with star classes, Google Maps labels and review bands, is in the hotel email coverage CSV.
Three patterns explain most of the spread:
- The United States is a chain market. 56.6% of US hotel listings linked to a brand site, and 56.3% of US hotel websites refused or failed an automated read. Only 19.4% of US listings ended with the hotel's own address, while 97.4% had a phone number.
- Germany, Italy, France and Spain publish. Between 52.7% and 60.9% of listings there gave the hotel's own address. Italy and Spain have few brand sites in our data (1.3% and 2.0%), and German law requires an email address on every commercial website under § 5 DDG.
- India, Nicaragua and Brazil lack websites. 40.2% of Indian and 57.1% of Brazilian hotel listings had no website link at all, and where an address exists, 30.7% to 44.4% of them sit on consumer mailboxes. Phone and WhatsApp reach more of these hotels than email does.
Four-star hotels publish the most
Four-star hotels are the easiest to reach by email, five-star hotels are not. The star class comes from the hotel's Google Maps label, such as "4-star hotel".
| Star class | Listings | Brand site | Hotel's own email | Own email, single-property sites | Free mailbox |
|---|---|---|---|---|---|
| 1 star | 140 | 12.9% | 27.1% | 50.7% | 36.8% |
| 2 stars | 925 | 30.3% | 24.8% | 58.1% | 26.2% |
| 3 stars | 3,654 | 22.9% | 42.0% | 68.7% | 14.7% |
| 4 stars | 1,835 | 24.1% | 55.1% | 75.3% | 4.6% |
| 5 stars | 414 | 44.0% | 40.6% | 70.9% | 0.6% |
Five-star hotels fall back because 44.0% of their listings link to a brand site. An independent five-star hotel publishes its address as often as a four-star one (70.9% against 75.3%). At the other end, one- and two-star hotels are often owner-run: 36.8% and 26.2% of their addresses sit on consumer mailboxes.
Review volume tells the same story. Hotels with 1 to 49 Google reviews gave their own address 17.2% of the time, mostly because 46.9% of them had no website link. Hotels with 200 to 999 reviews reached 48.8%. Above 1,000 reviews the figure drops to 41.2%, because 38.3% of those listings are chain hotels.
Which Google Maps categories to search
Run several accommodation labels, not only "hotel". Owners choose their own category, and guest houses or B&Bs never appear under a plain hotel search.
| Label on the listing | Listings | Website link | Hotel's own email |
|---|---|---|---|
| Hotel | 7,822 | 68.7% | 33.2% |
| 3-star hotel | 3,490 | 82.6% | 41.4% |
| 4-star hotel | 1,747 | 95.4% | 55.4% |
| 2-star hotel | 877 | 70.9% | 23.3% |
| Guest house | 743 | 68.1% | 41.7% |
| Resort hotel | 658 | 64.1% | 38.0% |
| Bed & breakfast | 613 | 66.7% | 42.1% |
| 5-star hotel | 397 | 97.2% | 39.5% |
| Inn | 275 | 52.7% | 30.2% |
| Hostel | 184 | 58.2% | 29.9% |

Which mailbox you will reach
Mostly the general inbox. Of the 6,800 hotels with their own email, 67.1% published a general address such as info@, contact@ or kontakt@. Department mailboxes are rare:
| Mailbox type | Share of hotels with own email |
|---|---|
| General (info, contact, office, hotel) | 67.1% |
| Reservations or booking | 13.3% |
| Sales or marketing | 3.3% |
| Front desk or reception | 2.6% |
| Events, groups or banqueting | 2.4% |
| General manager or director | 1.3% |
| Human resources or careers | 0.6% |
| Purchasing | 1 hotel of 6,800 |
Purchasing is the address most suppliers want, and hotels do not publish it. Across all 220,063 addresses in our scraper pool, every category included, 133 looked like a purchasing mailbox. In a separate scrape of 854 hotels in Antalya and Alanya, Türkiye, on 1 November 2026, none of the 576 addresses we found was one. A supplier of linen, food, amenities or furniture should write to the general address with the department named in the subject line, or call the switchboard and ask for purchasing.
The country changes the mix. British hotels list department mailboxes more often: events 11.5%, front desk 13.2%, reservations 19.1%. In Germany 81.4% of hotels publish one general address. 69.6% of all hotels with an own email published exactly one address.
If you check sites by hand, look at the homepage footer first. For 70.6% of hotels the address was on the homepage, for 12.6% on a contact page and for 5.6% on a legal or imprint page.
What does a hotel email list cost?
Vendors charge per record, and the prices vary widely. These are the list prices we read on 1 November 2026:
| Option | Price | What you get |
|---|---|---|
| Listflix, Germany | 1,650.80 EUR for 16,508 hotels, or 300 EUR for a subset of 1,000 (plus VAT) | Company data, 11,415 emails, managing directors from the trade register |
| BookYourData, US | From $99 for 250 records; custom builds from $499 for 1,000 | Named contacts such as general managers |
| BasedOnBusiness | 30 records free every month; $9 one time for 1,000; $19 per month for 10,000 | Google Maps listings plus the emails each hotel publishes, with the source page |
The data is not the same product, so compare what you need. Listflix reports emails for 11,415 of its 16,508 German hotels, or 69.1%. That is close to the 70.4% of German hotel listings where we found any address, so in Germany the public websites and a vendor file reach a similar ceiling. A vendor adds named managers from registers, which no website read will give you. A Google Maps list adds the phone, rating, review count, the website and the page each email came from, and costs one credit per record.
Ask any vendor four questions before paying:
- Where did each address come from, and can you see the source?
- When was each address last checked?
- How many chain hotels are in the file, and do their rows carry the central brand address?
- How many hotels does the file contain for your city, and how does that compare with a Google Maps search for the same city?
How to build a hotel email list, step by step
- Pick your labels and area. Run "hotel", "guest house", "resort hotel" and "bed and breakfast" as separate queries in one job (BasedOnBusiness takes up to ten queries per job), for a country, a state, a city or an area you draw on the map, such as a stretch of coastline.
- Run the job. The listing fields come from Google Maps. For every result with a website, the enrichment reads the public site (the homepage and up to three contact, about or legal pages) and returns the published emails. It does not guess addresses and does not probe mail servers.
- Export to CSV or Excel. Each row carries
email, all addresses inemailsand the page each came from inemail_sources, next to phone, website, rating and review count. - Remove the brand sites. Count the website domains. Rows on a domain shared by five or more hotels go to a separate chain list, where you work through the regional sales office or the phone.
- Split the rest into two lists. Rows with the hotel's own address go to your email sequence. Rows without one go to a calling queue: 86.8% of the hotels without their own email in our data still had a phone number.
- Warm up before you send. A new domain that sends 2,000 cold emails on day one will not reach inboxes. The sequencing is covered in turning Google Maps leads into a cold email campaign.
Is it legal to email hotels?
It depends on where the hotel is, not where you are.
- United States. The FTC's CAN-SPAM guide states that the law "makes no exception for business-to-business email". You need accurate headers, an honest subject line, your postal address and a working opt-out honoured within 10 business days.
- United Kingdom. The ICO's PECR guidance allows B2B email to companies without consent, but sole traders and some partnerships need consent. Many guest houses and B&Bs are sole traders, so check the business form before you write.
- Germany. Section 7 of the UWG requires prior express consent for email advertising, also between businesses. Germany has the highest coverage in our data and the strictest rule for using it.
- Spain. LSSI article 21 bans commercial email that the recipient did not request or authorise, unless there is a prior contract.
- France. The CNIL allows B2B prospecting by email without prior consent when the message relates to the recipient's profession, with the right to object from the first message.
- Türkiye. Article 6 of the regulation on commercial electronic messages requires no prior consent when the recipient is a merchant or tradesperson, which covers hotels run as companies. Sending must stop as soon as the hotel objects.
The wider picture, including collecting versus sending, is in our legal and privacy guide to finding business contacts. This is not legal advice.
What this data does not tell you
- It is not a census. The 17,963 listings are the accommodation results of searches run on BasedOnBusiness between 22 March and 20 October 2026. India and Germany make up 66.4% of them, and the country mix follows demand, not the number of hotels.
- "The hotel's own address" is an approximation. We count an address as the hotel's own when no more than two listings share it. A small group with two hotels and one central inbox passes that test.
- A published email is not a deliverable email. We count addresses printed on the site. Some mailboxes are abandoned. Verify before a large send.
- Some hotels hide the address from automated reads. The reader checks the homepage and up to three contact, about or legal pages without running JavaScript. An address injected by a script, or one behind a site that blocks bots, counts as "not found" here although a human could see it.
FAQ
Can I get hotel emails from Google Maps?
Not from the listing itself. A Google Maps listing has no email field, so the address has to come from the hotel's own website. In our reading of 17,963 hotel listings, 37.9% ended with an email that belonged to that hotel, and 91.0% had a phone number.
What share of hotels publish an email address?
About four in ten hotel listings lead to an address that belongs to the hotel: 37.9% of 17,963 in our data. For hotels with a single-property website the figure is 66.9%. Chain hotels, no website and sites that refuse automated reads make up the rest.
Why can't I find email addresses for chain hotels?
Chain hotel listings usually link to the brand's central website, not to a page run by the hotel. Of 3,473 listings that pointed to a brand site, only 4.0% gave a hotel-specific address: 51.5% showed a central address shared by many hotels and 38.4% of the sites refused or failed the read.
How do I find a hotel's purchasing manager email?
Hotels almost never publish it. Of 6,800 hotels with their own email address in our data, one had a purchasing mailbox. Write to the general address with a precise subject line, or call the switchboard and ask for the purchasing department by name.
Is it legal to send cold email to hotels?
It depends on the hotel's country. In the US, CAN-SPAM allows B2B email with an opt-out and a postal address. In the UK you can email incorporated hotels without consent, but many guest houses are sole traders and need consent. Germany and Spain require prior consent. This is not legal advice.
Should I buy a hotel email list or build one?
Build one if you want to know where each address came from and pay per record. A Google Maps list carries the source page of every email. Buy one if you need named managers, which public websites rarely show, and test a sample for bounces before you pay for the rest.
Getting started
Search one city with three accommodation labels, export the file and count the rows where a single-property website gave an email. That number, not a vendor's claim, is the size of your hotel email list there.
Create an account and run the search with 30 free credits every month, no card required. A city's hotels usually run into the hundreds: a one-time pack of 1,000 credits costs $9, and plans start at $19 per month for 10,000 records.
